Diary Centric CRM
Diary Centric CRM is designed to manage resources both physical and human throughout your organisation.
By allocating the right resources at the right time, there is opportunity to influence the cost of the work,
its quality and timeliness of its delivery.
Diary Centric CRM goes above and beyond the duty of a calendar, as its main function is a scheduling tool which captures
not only the date and time of an appointment, but allows you to DRAG + DROP resources both human and physical into
a number of calendar views and simply make changes by DRAGGING + DROPPING appointments into the calendar of any
resource across your organisation at anytime.
Contact Management is also a key feature of Diary Centric CRM. Capture contact and resource information and allocate
each resource to a location and add attributes based on resource type. An essential feature of a contact management
solution is to track communications against a resource be it a physical resource such as a laptop,
a human resource whether be internal or external communication with a customer. Finally, an activity history
feature allows you to capture all activities related to each and every single resource internally or externally
associated with your organisation.

Resource Management
A collection of resources is the type of resource in which are grouped together to make planning easier and efficient.
The process of adding new resources is based on creating a: collection of resources, which contains groups of resources
of a specific type which have their own individual entity. The resource panel is where the resources are located and allow
user to drilldown and find the resource required to add to an activity. In the event the user needs to track down
a resource quickly there is a search tool. The user is able to select from a drop-down box with categories in which to search.
There are four types of resource forms available in Diary Centric CRM. They are:
- Human Resource
In this form the user captures the name of the human resource and any associated information such as location, photo, etc. Following attributes are defined: Employee number NT log-on name; Post; Spiral Number; Date of birth.
- Vehicle
Captures the name and location of the vehicle but the attributes are geared towards essential information he/she needs to know about this type of resource. Following attributes are defined: Registration number; Insurance number; Asset number; Supplier; Purchase date.
- Equipment
Again the users capture the name and location of the equipment. Following attributes are defined: Serial number; MAC address; Asset number; Supplier; Purchase date.
- Location
On the location form the user captions name and attributes of the location. Following attributes are defined: room type; number of seats; room number/name; contact; available from.
Activity Management
The Activity Panel shows the Activity types that are dragged onto the diary or timeline.
Create activities that are relevant to your individual requirements such as price-lists, daily business tasks etc.
Activities allow you to capture the type of activity, specify a duration such as 60 minutes for weekly team meetings,
apply start times and allocate pricing and costs against the activity.
Diary Management
A diary can be either for a single resource or for a group of resources. There are 3 calendar types: daily view,
weekly view and monthly view. In addition to managing all activities relating to resources within your company,
you can view all activities of your customers, suppliers and any collection of resources you choose to capture.
Once the appointment has been added to the calendar Diary Centric CRM provides an extensive feature that enables you update
the financial considerations of the appointment.
- Financial
In the activity panel you have allocated a price to an activity or service you provide your customers. You can update the cost and/or price element based on any discounts offered to customers to measure the cost/price of each activity.
- Notes & Attachments
You can add notes to each appointment and add attachments such as MS Word, MS Excel, PDF and all other standard formats.li>
- Re-Occurring Appointments
Create a series of appointments that not only save time but also allow you to amend any appointment within the series without making any changes to the others in the series. Create a series of appointments on a daily, weekly, monthly or yearly basis.
